Clients Page
The clients page is the place to keep track of everything you could possibly need to know about your clients and easily access or change any of their data.
Potential Clients Page
The potential clients section is the place to keep track of all potential clients. With a built-in quote creation system, you can also send out customised quotes to potential clients. Plus keep track of your firms client conversion percentages!
Jobs Board
The jobs board is the place to log and keep track of all client jobs. With a filtering system so you can see the progress of each job, you'll always know how the staff are progressing with their work.
Meetings
Log all of your firm's meetings with the staff member attending the meeting and notes for the meeting. There is a calendar view so you can easily see the scheduled meetings. On the calendar the meetings are colour coded so theres no confusion.
The Week Ahead
The week ahead contains all of your jobs, reminders, and meetings that are going to happen within the week of the date selected. This means you can also look ahead and be prepared.
Fee Allocation
When you add a new client or edit an existing one, you have the option to select responsible staff for each job. You can use this to see the amount of fees allocated to each staff member. This allows you to see a clear picture of how all of your firm's fees are allocated between members of staff. Client costs and one-off fees are also tracked but they will not affect the total allocated fees.
Practice Overview
The practice overview contains everything you could want to know about your business and the fees it generates. This page can only be viewed by authorised staff chosen by your firm's administrator.
Archives
There are archives for the books cupboard, clients, potential clients, phone messages, meetings, repayment tracker, and more. All of the archives have the same information as the normal pages, and anything can be unarchived.
Books Cupboard
The books cupboard is the place to keep track of where clients books are located and what the books look like. This makes them easy to return when the client pops in to collect them, if they are available for return.
Reports
There are various reports, such as client fees, client ratings, client location, HMRC authority, last date increased fees, potential clients onboarded, fees gained vs fees lost, etc. You can edit directly in reports to make things quicker.
Staff Availability
Easily see which staff are available for work and what days they are missing. There is also a system log of all days off so you can see who was off and why and how many days they have been away from work.
One-off Fees
The one-off fees page is the place to log all of the one-time fees that are coming into the firm. You can set a responsible staff member for this work, and it will show in the fee allocation details for 1 year.
Reminders
Set reminders for anything you need and set a deadline with responsible staff. All reminders are private to each user so no one else can view your reminders.
Control Desk
The control desk shows the accounts control, companies house statement control, corporation tax control, P11Ds control, PAYE control, and more. Never miss a deadline with all the filing dates at your fingertips.
Client Phone Numbers
All of your clients phone numbers will show up here so they are easily accessible to give your client a call. Or search for any unrecognised numbers to see if that last call was from a current client.
Repayment Tracker
The repayment tracker is where you can keep track of all of your clients tax refunds. Show what type of refund is due, the expected amount of the refund, the progress of the refund, and if your firm is receiving the refund and deducting fees.
Your Prices
If you have fixed prices for various standard services, these can be shown in the Our Prices section. It enables all staff to be able to advise on fees for these services at any time.
Stay Ahead Of Work
Stay ahead on all of your work with the deadlines in the next 30 days. Every deadline for the upcoming 30 days from the control desk will be shown here. You can choose to view all the firm's work or filter by certain staff members. If for some reason you do fall behind on some work, then you will find all of the missed deadlines in the outstanding deadlines to see what work needs to take priority.
Phone Messages
The phone messages page is the place to log and keep track of all of the phone calls and allocate the responsible staff member who is dealing with the call. The staff member will be sent an email to let them know they have a new call logged in the software, and progress can be tracked until the call is 'complete.'
Levels Of Access
There are four levels of access. Full Access can see everything on the software. Normal access can see everything other than settings and sensitive fee information. Limited access is the same as normal access, but they can only see their own jobs, meetings, etc., and not any other staff's. And No access cannot see anything at all.
